The Traffic Management System
The system provides complete control of daily traffic functions using a fully configurable traffic diary and booking screen. Each job is allocated a unique job number which is used to identify the job through each stage from initial quotation, through confirmation and pricing, to final invoicing. Multiple diaries can be used on screen concurrently with a single user-license. All resources e.g. vehicles, drivers, trailers etc. can be allocated dynamically into the configurable booking screen using the familiar drag-and-drop method. Keeping track of your resources is a breeze with the unique graphical planner providing both daily and weekly views. You can set up your own job templates for your regular customers and routes. The system is fully supported with both on-screen help from your desktop, and on-line training manuals available to view or download from the Roadrunner web-site. Traffic and The InternetThe Traffic management system is unrivalled in its ability to communicate with the outside world. It is equipped as standard with a completely transparent link to the Roadrunner Transport Exchange which allows you to post jobs to the Exchange directly from your diary. It is also completely compatible with any of the standard EDI protocols, so you can easily communicate with your customers using their preferred method. However major cost-savings can be made using Roadrunner Internet EDI, which leverages the internet for inexpensive and swift communications. This unique time-saving feature allows secure links between your system and those of your customers. Your customers can then update your diary with their bookings at the touch of a button. Vehicle Manifesting and GroupageThe Traffic manifesting system is fully integrated with the Traffic management system and allows you to allocate jobs to a manifest by grid reference. You can mark a selection of jobs in the diary and allocate them to a manifest in a single (drag-and-drop) operation. You can allocate jobs to a manifest as and when they are booked, and then later break down the manifests amongst the vehicles performing the work. A manifest for each vehicle or area can be printed at any time, including a trailer loading sheet. Costs can easily be attached to each manifest to provide complete profit reporting. Trunking and Auto-LeggingTrunkingThe trunking facility works in conjunction with the Traffic management system to enable multi-depot operations to handle one job via several depots. It will create a master job to which 'legs' required to complete the job are attached. The customer can be invoiced via the master job, hiding the 'legs' carried out by the haulier, or via the individual legs to show the complete picture. Both ways provide the ability to split the overall revenue between the depots and vehicles that carried out the job. Auto-LeggingThe Roadrunner auto-legging facility allows you to set up your own profiles which will automatically create legs for your trunking jobs. This significantly reduces the operator's time in booking a multi-leg job. Revenue can be automatically split over legs to give accurate vehicle costings, thus producing real time results. Traffic ReportingThe Traffic management system provides an exhaustive list of real-time reporting options allowing you to extract the information you require from the system at any time. All reports can be displayed on screen or printed to a PostScript or dot matrix printer.
Traffic InterfacesSchedulingRoadrunner's vehicle manifesting system integrates seamlessly with several of the main scheduling packages available. This allows information about each job to be sent across to the scheduling package, viewed graphically on a computerised map and collated into manifests before being sent back to Roadrunner for production and running sheets, live tracking or job status. WarehouseWhen goods are picked using the Roadrunner Warehouse system a request for transport can be sent to the Traffic system, essentially creating a job. The information powered across can be individually customised to suit your operation. In-Cab CommunicationsThe system is fully compatible with most in-cab communication systems. Roadrunner Transport ExchangeThe Traffic diary includes a button to automatically post marked jobs directly to the Roadrunner Transport Exchange. Fuel MonitoringRoadrunner Traffic can accept output files from any of the standard fuel monitoring systems as vehicle costings transactions. AccountsApart from the transparent link with Roadrunner's own Accounts package, Traffic is capable of producing data files compatible with any third party accounts package. Vehicle and Trailer CostingWhen jobs are priced within the Traffic system, revenue is allocated to the vehicle and/or trailer involved, thus adding to the Revenue sections of each resource. Fixed costs can be entered with a single posting and then split over a required period. Road fund license, for example, though paid in a single transaction, can be split over 52 weeks or 12 months, providing a more accurate reflection of the vehicle's periodic running costs. You can even allocate vehicle costs in bulk over a selected group of vehicles in a single operation. Stocks and spares can be allocated as a cost to a vehicle either through the vehicle costings, or via an automatic link from the Roadrunner Accounts purchase ledger, or even from the Roadrunner Garage system at the time of entering the invoice. Self-BillingRoadrunner Traffic is able to handle self-billing from the perspectives of both customers and subcontractors. Customer invoices can be matched with any discrepancies recorded, thus providing an accurate reporting procedure for paid, part paid and accruals. You can create your own subcontractor invoices, giving you control of your purchase ledger. Invoices can be produced at a touch of a button, saving numerous hours going through your suppliers' invoices. Trip CostingsThis is a complete cost management facility which provides the revenue from all jobs attached to a trip, the costings from pre-set estimated costs and actual costs on receipt of expenses and invoices, combining to produce full analysis of a trip's profitability. Traffic InvoicingAfter Traffic Jobs have been priced, the Traffic invoicing module will collate jobs for each of your customers and then produce invoices which can be configured to each of your customers' individual requirements. You can even split invoices over each of your depots. A unique invoice number is issued and each job on the invoice is assigned an invoiced status. A transparent link to Roadrunner Accounts is provided as well as a data file output to any other accounts package. Traffic invoicing can handle multiple currencies and exchange rates, which is good news if you trade in Euros. Pallet ControlThe pallet control system allows you to create pallet types and provide reports and statements showing pallet movements and responsibility. Heavy HaulageAmong the more specialised applications of the Traffic management system is the heavy haulage module which can easily handle all of the paperwork involved with transporting abnormal loads. It includes a full quotation facility which provides added flexibility to provide detail and diagrams when required. It can also produce police notifications in the standard HHA format which can be held on file and retrieved at a later date. Freight ForwardingThe Traffic management system can also be configured to handle freight forwarding jobs. You can specify consignor, consignee, agent details and trip costing. All associated paperwork can be produced, e.g. CMR, certificate of shipment and driver instructions.
